Booking of your trip
Get your trip proposal
Our website contains detailed information about our destinations and experiences. Once you have explored the options and have a general idea of what you are looking for, simply send us your preferences through the “Enquire” button available on the relevant pages.
Before preparing your customised trip proposal, we may get in touch with you by email, WhatsApp, or phone to better understand your expectations and clarify the details.
After this exchange, we will send you a tailor-made itinerary and quotation based on your needs.
How to book
1. Booking amount
To confirm your trip, 50% of the total tour price is payable at the time of booking.
This advance payment allows us to secure the necessary arrangements with our local partners and service providers.
2. Balance payment
The remaining 50% must be paid no later than 15 days before the start of the trip.
For last-minute bookings made within 15 days of departure, 100% of the tour price is payable at the time of booking.
Payment from outside India
If you are making a payment from outside India, you have two simple options:
Option 1 – Bank transfer
Transfer the amount directly to Heco’s official bank account (details shared below).
This option is suitable for clients who are comfortable with standard international bank transfers.
Currency & exchange rates
Our prices are in Indian Rupees (INR).
If you are paying in another currency
- Banks and transfer services apply their own exchange rates
- These rates are slightly lower than the “Google rate
As a guideline:
If 1 EUR = 100 INR on Google, it is safer to calculate a 3 to 4 % lower value, i.e. around 1 EUR = 96 INR to ensure the correct amount reaches us.
Small differences
Any small difference due to exchange rates or transfer fees can be adjusted upon arrival.
If we receive slightly less, you can settle the balance in cash; if we receive more, we will naturally refund the difference.
Option 2 – Digital transfer services
You may also use a trusted international payment service such as Remitly or Revolut.
Remitly
Remitly is a trusted digital money transfer service that allows you to send money internationally using your phone or computer.

Cancellation & other information
Cancellation policy
We value your travel plans, but we also make significant advance arrangements with our local communities, guides, and service providers. To balance fairness for our guests and our partners, the following cancellation policy applies:
1. Cancellation within 7 days of the trip start date
No refund will be provided.
2. Cancellation between 8 and 15 days before the trip start date
50% of the trip price will be retained, and no refund shall be made for this amount.
The balance (if already paid) will be refunded.
3. Cancellation more than 15 days before the trip start date
The entire amount paid shall be refunded after deducting :
- 15 percent of the trip price as administrative charges, and
- Any actual expenses already incurred by us to make advance arrangements with local partners and service providers.
4. Force Majeure / Unforeseen Events
In case the trip is disrupted or cancelled due to circumstances beyond our control (including but not limited to natural disasters, political unrest, road blockages, strikes, or pandemics):
Guests will be offered the option to reschedule the trip within 12 months, subject to availability. The paid amount minus the unavoidable expenses already incurred (such as permits, bookings, and arrangements with local partners) will be utilized for the postponed trip.
We kindly ask for your understanding in such situations. During force majeure events, the tourism industry is among the hardest hit, with widespread cancellations that can endanger the very survival of enterprises like ours.
We are deeply grateful for your support during such challenging times.
Medical and personal information form
We are very much concerned about your health, safety and comfort.
In order to avoid unrequired situation and reduce the risk of any misfortune due to any medical issue, you are requested to fill in and submit this medical form.
Release of Liability and travel insurance
Himalayan Ecotourism and its representatives/subcontractors are released from any liability or claim with respect to any bodily injury, personal injury, illness, death, property loss, or property damage that may happen during any activities that we organize for you.
While choosing our services [tours, treks and travel offerings] you agree to release us from any liability as mentioned in the form below.
Travel Insurance
Though you will be guided by experienced professionals and we provide reliable equipment, we recommend the purchase of travel insurance for your protection.
